Where it leaks
- Vehicles that enter and leave without being written down
- The wrong vehicle class charged, by mistake or by arrangement
- Quantities or weights entered lower than they were
- Cash taken at the gate without a receipt
- Waivers given without anyone approving them
- Register entries changed after the fact
The controls that close it
- Read every plate at entry and exit, and pair the two into one visit
- Apply charges from a rate card by vehicle class, not by hand
- Take payment by UPI or card, with a receipt, before the exit opens
- Print the bill from the record, so the two always match
- Keep the register hash-chained, so an edited entry shows
At the weighbridge
Bring the weight reading into the same visit record as the plate, the charge and the payment, so the weight that was billed is the weight that was measured. A weighbridge can be configured as a QWorks app from the same building blocks as the gate.
Reconcile every day
At the end of each day, compare visits, bills and payments. Any visit without a bill, or a bill without a payment, is the leak, and it is found the same day rather than at the year-end audit.
See QWorks Gatehouse, or QWorks custom apps for weighbridges.
